Preparing and Printing a Presentation


Objective:

To understand how to effectively prepare a PowerPoint presentation for delivery and printing, ensuring that it is organized and visually appealing for both the audience and the presenter.


Topics Covered:

1. Slide Show Setup

  • Purpose: Setting up your slide show helps in defining how your presentation will flow during the actual delivery.
  • Key Settings:
    • Timing: You can set the timing for each slide, which helps manage the pace of the presentation.
    • Looping: Looping allows your presentation to run continuously until stopped, useful for unattended displays (like at trade shows).
  • How to Set Up Timing and Looping:

1.                   Go to the Slide Show tab.

2.                   Click on Set Up Slide Show.

3.                   Choose Presented by a speaker (full screen) or Browsed at a kiosk (full screen).

4.                   For looping, check the Loop continuously until 'Esc' option.

5.                   Set the timings for slides in the Transitions tab by adjusting the Advance Slide options.


2. Rehearsing Timings

  • Importance: Practicing with rehearsed timings allows you to become familiar with the flow of your presentation and adjust content if needed.
  • How to Rehearse Timings:
    1. Go to the Slide Show tab.
    2. Click on Rehearse Timings.
    3. Navigate through your slides while the timer records how long you stay on each slide.
    4. At the end, you’ll be prompted to save the timings.
  • Benefits: This feature helps ensure that you cover all your material within the allotted time and enhances your presentation skills.

3. Printing Slides, Handouts, and Notes

  • Different Printing Options:
    • Slides: Full slides printed one per page, ideal for detailed presentations.
    • Handouts: Multiple slides on a single page (e.g., 2, 3, 4, or 6 slides), suitable for audience reference.
    • Notes Pages: Prints each slide along with its corresponding notes, beneficial for presenters.
  • How to Print:

1.                   Click on the File tab.

2.                   Select Print.

3.                   In the Print Layout dropdown, choose:

      • Slides for full slides.
      • Handouts for multiple slides per page.
      • Notes Pages for printing slides with notes.

4.                   Choose the printer and adjust settings like the number of copies.

5.                   Click on Print.

  • Example: If preparing for a meeting, you may print handouts with three slides per page for easy distribution.

Lab Task: Prepare a 10-Slide Presentation for Print as Handouts, with Notes for Each Slide

Instructions:

  1. Create a 10-slide presentation on a topic of your choice.
  2. Include the following elements in your presentation:
    • Title slide
    • Introduction slide
    • Content slides (at least 6)
    • Conclusion slide
    • Notes for each slide with key talking points or additional information.
  3. Set Up for Print:
    • Go to the File tab and select Print.
    • Choose Handouts and select 3 slides per page.
    • Ensure Notes Pages are included to provide context for each slide.
    • Print your presentation.
  4. Submission: Submit both the digital presentation and printed handouts along with notes.
