Inserting Multimedia 

(Audio and Video)


Objective:

Learn how to insert audio and video clips into a PowerPoint presentation and manage basic playback options for both.

1. Inserting Audio Files (from file or online)

Purpose:
Audio clips can enhance a presentation by adding background music, sound effects, or narration.

Steps to Insert an Audio File:

  • From File:
    1. Go to the Insert tab.
    2. Click on AudioAudio on My PC.
    3. Browse your computer for the desired audio file and select it.
    4. The audio icon will appear on the slide.
  • From Online:
    1. In the Insert tab, select Audio.
    2. Choose Online Audio (this option may require an internet connection and permissions to search for online sources).

Playback Settings for Audio:

  • After inserting the audio file, you can control playback from the Playback tab.
    • Play automatically: The audio starts as soon as the slide appears.
    • Play when clicked: The audio plays when you click on the icon.
    • Loop until stopped: The audio will continuously play until manually stopped.
    • Hide during the show: Hides the audio icon during the slideshow.

2. Adding Video Files (from file or online)

Purpose:
Videos are powerful tools to visually explain concepts, demonstrate processes, or add dynamic content to a presentation.

Steps to Insert a Video File:

  • From File:
    1. Navigate to the Insert tab.
    2. Select VideoVideo on My PC.
    3. Browse and select the video you want to insert from your computer.
  • From Online:
    1. Go to the Insert tab.
    2. Choose VideoOnline Video.
    3. You can embed videos from platforms like YouTube or other websites by copying and pasting the video URL.

Tip:
When inserting online videos, ensure a stable internet connection is available during your presentation.


3. Basic Playback Options (Start, Stop, Loop, Volume)

Once audio or video is inserted into the slide, you can control its playback.

Playback Options:

  • Start: Choose whether the audio or video starts automatically, when clicked, or after a delay.
    • Automatically: Plays when the slide appears.
    • On Click: Plays when clicked during the presentation.
    • In Sequence: Plays based on the order of elements on the slide.
  • Stop: You can set the audio or video to stop at the end of the slide or after a specific point.
  • Loop: Enable this option to repeat the media continuously during the slide.
  • Volume: Adjust the volume by clicking the Volume icon under the Playback tab. Options include Low, Medium, High, or Mute.

Tip:
To ensure smooth playback during presentations, test media files before the actual presentation and check if they work on the system being used.


4. Formatting Video (Resize, Crop)

After adding a video to your slide, you may want to resize or crop it to fit your presentation design.

Resize a Video:

  1. Select the video on your slide.
  2. Drag the corner handles to adjust the size proportionally.
  3. Use the side handles to stretch or shrink the video horizontally or vertically.

Crop a Video:

  1. Click on the video and go to the Video Format tab.
  2. Select the Crop tool.
  3. Adjust the cropping handles to focus on the specific part of the video you want to display.
  4. Press Enter to apply the crop.

Lab Task:

Objective: Create a multimedia presentation with at least one audio clip and one video clip.

Instructions:

  1. Create a 3-slide presentation on any topic of your choice (e.g., a product introduction, marketing strategy, or company overview).
  2. Insert an audio clip into one of the slides. This can be background music or a voiceover explaining the slide content.
  3. Insert a video clip into another slide. This could be a promotional video, tutorial, or any relevant media.
  4. Experiment with playback settings for both the audio and video:
    • Set the audio to play automatically when the slide appears.
    • Set the video to play on click.
  5. Resize or crop the video to fit nicely within the slide layout.

Expected Outcome:
The students will create a professional presentation enhanced with multimedia elements such as audio and video, with control over playback and proper formatting.
