Inserting Graphics and SmartArt


Objective:
Learn how to enhance documents by inserting and formatting images and SmartArt. This will improve the visual appeal and clarity of your documents.


1. Inserting and Formatting Images

Images can add significant value to your documents by making them more engaging and informative. Properly inserting, resizing, and positioning images ensures they enhance rather than detract from the document's content.

A. Inserting Images

  1. Open Your Document:
    • Launch MS Word and open the document where you want to insert an image or create a new document.
    • Save the document with a relevant name (e.g., Graphics_Exercise.docx).
  2. Insert an Image:
    • Place Your Cursor:
      • Click where you want the image to appear.
    • Insert Image:

                   1.Go to the Insert tab on the Ribbon.

                   2.Click on Pictures in the Illustrations group.

                   3.Choose This Device to insert an image from your computer, or Online Pictures to find an image on the web.

                   4.Select the desired image and click Insert.

B. Resizing and Positioning Images

  1. Resize an Image:
    • Click on the image to select it. Handles (small squares) will appear around the image.
    • Drag the corner handles to resize the image while maintaining its proportions.
    • For precise resizing, right-click on the image, select Size and Position, and enter specific dimensions.
  2. Position an Image:
    • Wrap Text Around Image:
      1. Click on the image to select it.
      2. Go to the Picture Tools Format tab.
      3. Click on Wrap Text and choose an option (e.g., Square, Tight, Through) to control how text flows around the image.
    • Move the Image:
      • Click and drag the image to reposition it within the document.
    • Align the Image:
      • Use the alignment options in the Picture Tools Format tab to align the image relative to the page or text.

C. Formatting Images

  1. Apply Picture Styles:
    • With the image selected, go to the Picture Tools Format tab.
    • Choose from various Picture Styles to add effects such as borders, shadows, and reflections.
  2. Adjust Brightness and Contrast:
    • Click on the image, go to the Picture Tools Format tab, and use the Corrections options to adjust brightness and contrast.
  3. Crop an Image:
    • Select the image, go to the Picture Tools Format tab, and click on Crop.
    • Adjust the cropping handles to remove unwanted areas of the image.

2. Creating and Formatting SmartArt

SmartArt is a graphic tool in MS Word that helps you visually represent information, such as processes, hierarchies, and lists. It can make complex ideas easier to understand.

A. Creating SmartArt

  1. Insert SmartArt:
    • Place Your Cursor:
      • Click where you want the SmartArt graphic to appear.
    • Insert SmartArt:

                    1.Go to the Insert tab on the Ribbon.

                    2.Click on SmartArt in the Illustrations group.

                    3.The Choose a SmartArt Graphic dialog box will appear.

                    4.Select the category of SmartArt you want to use:

        • Process: For illustrating steps in a process.
        • Hierarchy: For showing organizational structures.
        • List: For displaying lists of information.

                    5.Choose a specific SmartArt style (e.g., Basic Process, Organizational Chart, Bullet List) and click OK.

  1. Add Text to SmartArt:
    • Click on the SmartArt graphic to select it.
    • Use the Text Pane that appears to enter text into the SmartArt shapes. Alternatively, click directly on a shape within the SmartArt to add text.

B. Formatting SmartArt

  1. Change SmartArt Style:
    • With the SmartArt selected, go to the SmartArt Design tab.
    • Choose from various SmartArt Styles to apply different visual effects to your graphic.
  2. Customize Colors:
    • Click on the SmartArt graphic.
    • Go to the SmartArt Design tab and click on Change Colors.
    • Select a color scheme that fits your document's theme.
  3. Resize and Position SmartArt:
    • Resize: Click on the SmartArt graphic to select it. Use the handles to resize.
    • Position: Drag the SmartArt graphic to reposition it within the document.
  4. Add or Remove Shapes:
    • Click on the SmartArt graphic.
    • Use the Add Shape or Remove Shape options in the SmartArt Design tab to adjust the number of shapes in your SmartArt.

3. Exercise: Enhance a Document with Graphics and SmartArt

Step 1: Insert and Format an Image

  1. Open a new document and save it as Document_With_Images_Exercise.docx.
  2. Insert an image relevant to your document's content (e.g., a company logo or product image).
  3. Resize and position the image so it fits well within the document layout.
  4. Apply a picture style and adjust the brightness and contrast as needed.

Step 2: Create and Format SmartArt

  1. Insert a SmartArt graphic that illustrates a process or hierarchy relevant to your content (e.g., a flowchart or organizational chart).
  2. Enter text into the SmartArt shapes.
  3. Format the SmartArt by changing its style, colors, and size.

Step 3: Proofread and Finalize

  1. Review the document to ensure that the images and SmartArt are properly inserted and formatted.
  2. Adjust any elements that may not align or look visually appealing.

Step 4: Save and Submit

  1. Save the document again to preserve your changes.
  2. Submit the file as directed by your instructor or as required.
