Objective

Explore PowerPoint themes and slide layouts to enhance the visual appeal and organization of presentations.


Introduction

In this class, we will focus on themes and slide layouts, which are essential tools in creating visually appealing and well-structured presentations. Themes provide a consistent look and feel, while slide layouts allow us to organize content efficiently.


1. Applying a Theme to a Presentation

A theme in PowerPoint is a pre-designed combination of colors, fonts, and slide layouts that gives your presentation a uniform look.

Steps to Apply a Theme:

1. Open a new or existing presentation in PowerPoint.

2. Go to the "Design" tab in the ribbon.

3. In the "Themes" group, you’ll see various theme thumbnails. Hover over them to preview how each theme will look on your slides.

4. Click on the desired theme to apply it to your presentation.

5. You can change the theme at any time, and all the slides in your presentation will automatically update to reflect the new theme.

Tip: Choose a theme that aligns with your presentation's purpose. For business presentations, stick to professional and minimalistic themes.

Example:

  • If you are presenting on Marketing Strategies, choose a sleek, modern theme with a professional color scheme like blue or green.

2. Using Different Slide Layouts

Each slide in PowerPoint can have a different layout depending on the content you want to display. Layouts allow you to structure text, images, charts, and other elements in a neat and organized manner.

Common Slide Layouts:

1.Title Slide: Used for the presentation's title and subtitle.

2.Title and Content: Contains a title placeholder and a large content placeholder (for text, images, charts, etc.).

3.Two Content: Allows you to place two pieces of content side by side (e.g., a comparison between two ideas).

4.Section Header: A title-only slide, typically used to introduce a new section in the presentation.

5.Blank Slide: No placeholders—useful when you want full control over the content and design.

Steps to Apply a Slide Layout:

1.     Select the slide you want to modify.

2.     Go to the "Home" tab.

3.     Click on "Layout" in the Slides group.

4.     A drop-down list of layout options will appear. Choose the one that suits your slide content.

Example:

  • For a slide introducing Key Concepts, you can use the Title and Content layout. If you’re presenting a side-by-side comparison (e.g., advantages vs. disadvantages), the Two Content layout will work well.

3. Customizing Theme Colors and Fonts

After selecting a theme, you can further customize the colors and fonts to match your brand or personal style.

Customizing Theme Colors:

1. Go to the "Design" tab.

2.In the Variants group, click the "Colors" dropdown to choose from a range of pre-designed color sets.

3.For more customization, click "Customize Colors" at the bottom of the dropdown.

4.A new window will open where you can modify colors for text, backgrounds, and accents.

5.Click Save once you’re satisfied.

Customizing Theme Fonts:

1. In the "Design" tab, go to the Variants group and click the "Fonts" dropdown.

2.Choose from different font pairings (heading fonts and body fonts).

3.To create a custom font set, click "Customize Fonts" at the bottom of the dropdown.

4.Select your preferred heading font and body font, then click Save.

Tip: Use fonts that are easy to read. For professional presentations, sans-serif fonts like Arial, Calibri, or Verdana are recommended.


Lab Task

Objective: Choose a pre-designed theme and create a 6-slide presentation on any topic of your choice, using different slide layouts.

Steps:

1.     Open a new PowerPoint presentation.

2.     Apply a theme of your choice from the Design tab.

3.     Create the following slides, using different slide layouts:

o    Slide 1: Title Slide (e.g., The History of Technology).

o    Slide 2: Title and Content (e.g., Key Innovations in the 20th Century).

o    Slide 3: Two Content (e.g., Comparing Early and Modern Computers).

o    Slide 4: Section Header (e.g., Impact on Society).

o    Slide 5: Title and Content (e.g., Technology in Education).

o    Slide 6: Blank Slide (use your creativity to add custom content like images, text, or a conclusion).

4.     Customize the theme colors and fonts if necessary.

5.     Add appropriate content to each slide, using well-formatted text and images to make the presentation engaging.

Suppose your theme is History of Technology


Step 1: Open PowerPoint and Apply a Theme

1.     Launch Microsoft PowerPoint.

2.     Create a new presentation.

3.     Go to the "Design" tab in the ribbon.

4.     In the "Themes" section, choose a pre-designed theme (e.g., Ion, Facet, or Retrospect).

5.     The selected theme will be applied to all slides in your presentation.


Step 2: Create Slides with Different Layouts

Slide 1: Title Slide

  • Go to the "Home" tab.
  • Click "New Slide" and select the Title Slide layout.
  • Title: The History of Technology.
  • Subtitle: Key Innovations and Their Impact on Society.

Note: The title slide introduces the topic of the presentation.


Slide 2: Title and Content

  • Add a new slide by clicking "New Slide" and select the Title and Content layout.
  • Title: Key Innovations in the 20th Century.
  • Content: Add a bulleted list of key innovations such as:
    • The invention of the computer.
    • The rise of the internet.
    • The development of mobile technology.

Slide 3: Two Content Layout

  • Add another slide and choose the Two Content layout.
  • Title: Early vs. Modern Computers.
  • Left Content: Add an image of an early computer (e.g., ENIAC).
  • Right Content: Add an image of a modern laptop or smartphone.
  • Provide brief descriptions for both.

Slide 4: Section Header

  • Add a slide using the Section Header layout.
  • Title: Impact on Society.
  • Subtitle: Technology's Role in Education, Healthcare, and Communication.

Slide 5: Title and Content

  • Add another slide using the Title and Content layout.
  • Title: Technology in Education.
  • Content: Add a brief description of how technology has transformed learning environments, with points like:
    • Online education.
    • Digital classrooms.
    • Access to global resources.

Slide 6: Blank Slide

  • Add a Blank Slide for creative freedom.
  • Insert a picture of a futuristic technology (e.g., AI or space exploration).
  • Add a short concluding statement: The Future of Technology is Limitless.

Step 3: Customize Theme Colors and Fonts (Optional)

1.     Go to the "Design" tab.

2.     In the Variants section, click the "Colors" dropdown and select a color set that complements your theme.

3.     You can also click "Fonts" and choose a font pairing that suits your presentation style.


Step 4: Add Content and Formatting

1.     Ensure that all text is formatted for consistency:

o    Use the same font for titles and subtitles.

o    Keep font sizes readable (Title: 36-44pt, Content: 24-32pt).

o    Use bold text to emphasize key points.

2.     Align your text properly:

o    Center the title on the Title Slide.

o    Left-align bulleted points for better readability.

3.     Add images and visuals where necessary, ensuring they are relevant to the content.


Final Review

  • Check the flow of your presentation: Does it logically move from the introduction to the conclusion?
  • Ensure that all slides use appropriate layouts and that text, images, and design elements are well-balanced.
  • Save your presentation as a PowerPoint file.
