Working with

Hyperlinks and Action Buttons

Objective:

To learn how to create interactive presentations using hyperlinks and action buttons in Microsoft PowerPoint.

  • Definition: Hyperlinks are clickable links that can direct users to different slides within the presentation, external web pages, or documents.
  • Types of Hyperlinks:
    • Links to Slides: Navigate to a specific slide in the same presentation.
    • Links to Web Pages: Redirect to an external website.
    • Links to Documents: Open other files, such as Word documents or PDFs.
  • How to Insert Hyperlinks:

1.                   Select the text or object (e.g., a shape or image) you want to turn into a hyperlink.

2.                   Right-click on the selection and choose Hyperlink or go to the Insert tab and click on Link.

3.                   In the dialog box, choose the type of hyperlink:

      • Existing File or Web Page: Enter the URL or browse to the file location.
      • Place in This Document: Select the target slide.
      • Create New Document: Link to create a new document.

4.                   Click OK to set the hyperlink.

  • Example: Linking a text titled "Contact Us" to the last slide of the presentation.

2. Adding Action Buttons

  • Definition: Action buttons are pre-designed shapes that trigger actions, such as navigating to another slide, running a program, or playing a sound.
  • How to Add Action Buttons:
    1. Go to the Insert tab and click on Shapes.
    2. Select an action button shape from the Action Buttons section.
    3. Draw the button on the slide.
    4. In the Action Settings dialog box, choose the action you want the button to perform:
      • Hyperlink to: Navigate to a specific slide.
      • Run Program: Open an external program.
      • Play Sound: Play a sound effect when clicked.
    5. Click OK to apply the action.
  • Example: Creating a “Next Slide” button that takes users to the following slide.

3. Creating a Non-Linear Presentation (Menu-Driven)

  • Definition: A non-linear presentation allows users to navigate through the slides in a non-sequential manner, similar to a menu system.
  • How to Create a Non-Linear Presentation:
    1. Use hyperlinks to connect various sections of the presentation.
    2. Create a Menu Slide with links to different sections.
    3. Include Home Buttons on each slide that link back to the Menu Slide.
    4. Ensure that each section can be accessed directly from the Menu Slide, allowing flexibility in navigation.
  • Example: A presentation on a company profile with a menu slide linking to "About Us," "Services," and "Contact Us" sections.
