Beginner Assignments

  • Task:

Assignment 5: Advanced Document Review

  • Objective: Manage complex document reviews using Track Changes and Comments.
  • Task:
    1. Prepare a detailed business report or research paper with multiple sections.
    2. Enable Track Changes and add several edits and comments throughout the document.
    3. Share the document with multiple reviewers via OneDrive or SharePoint.

  • Task:

    2. Insert Track Changes and comments as needed.
    3. Set up document protection to restrict editing to certain sections while allowing others to be edited.
    4. Share the document with a team, specifying different permissions for each team member (e.g., can edit, can view).
    5. Submit the document along with a brief explanation of the customization and protection settings applied.

Exercise: Collaboratively Edit a Team Project Document Using Track Changes and Comments

Objective:
Learn to use Track Changes and Comments to collaboratively edit and review a team project document.


Instructions:

  1. Create or Obtain a Team Project Document:
    • Option A: Start with a new document and create a team project outline or report.
    • Option B: Obtain a pre-prepared team project document provided by your instructor or team.
  2. Enable Track Changes:
    • Open Document:
      • Open the document in Microsoft Word.
    • Turn On Track Changes:
      • Go to the Review tab in the Ribbon.
      • Click on Track Changes in the Tracking group to enable it. This will start recording all changes made to the document.
  3. Make Edits and Add Comments:
    • Edit the Document:
      • Make edits to the document, such as adding new sections, revising text, or correcting errors. Your changes will be highlighted.
    • Add Comments:
      • Select the text or section where you want to add a comment.
      • Click New Comment in the Review tab. Type your feedback or suggestions in the comment balloon that appears in the margin.
  4. Share the Document for Collaboration:
    • Save Document:
      • Save the document to a shared location, such as OneDrive or SharePoint.
    • Share Document:
      • Go to File > Share > Share.
      • Enter the email addresses of your team members and choose appropriate permissions (e.g., can edit).
      • Click Send to share the document with your team.
  5. Collaborative Editing:
    • Review Changes:
      • After sharing, each team member can open the document, make their own edits, and add comments.
      • Team members should use Track Changes to ensure all edits are visible and comments for feedback.
    • Monitor Changes:
      • Use the Review tab to navigate through changes and comments made by team members.
      • Use the Previous and Next buttons in the Review tab to review changes and comments sequentially.
  6. Resolve Comments and Changes:
    • Accept or Reject Changes:
      • Go to the Review tab and use the Accept or Reject buttons to finalize or discard changes made by others.
    • Delete Comments:
      • Click on a comment balloon and select Delete to remove comments that are no longer needed.
    • Consolidate Feedback:
      • Integrate the feedback from all team members and make any final revisions to the document.
  7. Submit the Final Document:
    • Finalize Document:
      • Once all changes have been accepted or rejected and comments have been resolved, finalize the document.
    • Save and Submit:
      • Save the final version of the document.
      • Submit the document according to your instructor’s or project guidelines.
